# Google Workspace (Internal access only)

An additional set of Google tools for eligible ARIS users.

ARIS myBox provides the core internal services you use at ARIS College, including your mailbox, chat, notes, forms, and whiteboards. Google Workspace extends that environment with a selection of Google services that are useful when you need cloud file storage, video meetings, collaborative documents, or Google's wider ecosystem.

Google Workspace doesn't replace myBox. It's an additional service available to authorized users, designed to fill some of the gaps between ARIS's internal tools and the services you may already be familiar with from Google.

### What can I use?

**Google Drive**\
Store up to **15 GB** of files in the cloud, organize them into folders, share them with others, and access them across your devices. Drive is particularly useful while file storage through myBox is unavailable.

**Google Docs, Sheets & Slides**\
Create documents, spreadsheets, and presentations directly in your browser. Files are saved to Drive automatically and can be edited together with other people in real time.

**Google Meet**\
Create and join video meetings from your browser or supported apps. Meet is useful for classes, discussions, group work, presentations, or simply getting several people into the same virtual room.

**Google Calendar**\
Keep track of events and meetings, invite other participants, and schedule Google Meet sessions directly from your calendar.

**Google Forms**\
Create surveys, questionnaires, quizzes, and forms and collect responses online.

**Gemini**\
Use Google's AI tools with your ARIS Google account. Eligible accounts may receive higher usage limits and additional capabilities such as **Deep Research and access to more capable Gemini models**.

Other Google services may also be available depending on how your account has been configured.

### A few limitations

Your ARIS Google account provides a useful selection of Google services, but it isn't a full premium Google Workspace subscription.

You should be aware of a few differences:

* **Gmail isn't available.** Your ARIS email remains in **myBox Mail**.
* **Google Meet uses the standard feature set**, including a 60-minute limit for group meetings.
* Premium Meet features such as recording and certain calling or VoIP features aren't included.
* Most other Workspace apps use their **standard/basic feature sets** rather than premium editions.
* Some Google apps or features may be disabled or unavailable on an organization-managed account.
* Gemini availability and usage limits may differ depending on the access assigned to your account.

For most everyday use, the important parts are still there: **Drive for storage, Meet for video meetings, Google's productivity apps for collaboration, and Gemini where available.**

### Getting access

Google Workspace isn't automatically activated for every ARIS user.

You'll normally receive access to **ARIS myBox first**. If you're then authorized for Google Workspace, a welcome email from Google may arrive in your **myBox mailbox**, inviting you to activate your new ARIS Google account.

Follow that email to complete the activation process.

### Where should I go?

Think of the two services as working alongside each other.

**myBox** is your internal ARIS workspace for mail, chat, notes, forms, whiteboards, and other internal services.

**Google Workspace** extends that workspace when you need cloud storage, video meetings, collaborative Google apps, or other supported Google services.
